Insurance Premium Auditor

We have PeopleSoft installed on our Computers but I think it was not set up very efficiently.

Our payments come in via lockbox that are then fed into our system.

If our PeopleSoft system can read the payment as a full payment it just goes straight through.

Then the other ones either go through as unapplied or partial payments depending on what the client sent in with their check.

This is were the inefficiency starts. When payment go through the system before we look at them, the system will not post them put it will check off all open invoices and deduct the amount from the total of the invoices.

There are many times that the amount checked off is greater than the amount paid.

So we have to uncheck all the invoices and then go back and apply the payment correctly. This may sound simple and it is simple but when you are looking at over 300 payments and this happens 300 times it gets to be a lot of waste of time.

PeopleSoft is not recognizing the paid in fulls all the time. It is to pick up the payments the pay the total current charges but when the total current charges is also the total due amount the payment gets kicked out as a partial payment

I would like to have the ability to go in and adjust how these payments get applied automatically or edit the process.

I have been told this is the way PeopleSoft works. It also produces deliquent letters for accounts over 90 days both with debit balances and credit balances.

The only criteria is that the account is over 90 days. If an account has two lines of business the system can not split the payment between the two lines.

If these issues were fixed PeopleSoft would work just fine. Until that day dawns I along with the other auditors will be working twice as hard as we need to in a electronic world compare to the old paper and pencil world.
